Urbanise’s latest market communication has again highlighted the growing importance of digital systems in strata and facilities management.
While the update is not an insurance announcement, it is relevant to owners corporations, body corporates and strata committees because insurers increasingly want clear, current and usable information about the buildings they are being asked to cover.

For strata communities, the practical issue is not whether a scheme uses technology for its own sake. The issue is whether building records are complete enough to support better insurance conversations. A well-maintained digital record can help show when essential services were inspected, how defects were handled, whether maintenance was completed on time, and what changes have been made to common property over the life of the building.

That matters at renewal. When insurers assess strata risk, they are not only looking at location, construction type and claims history. They may also consider the quality of risk management, maintenance discipline and evidence available to verify the condition of key assets. In a market where premiums, excesses and cover terms remain under pressure, schemes that can provide reliable documentation may be better placed to explain their risk profile.

This is an extension of our previous coverage of strata technology, where we noted that better building data can become an insurance advantage. The latest update reinforces that point: platforms used for facilities management, asset tracking and service records can also support insurance readiness when the information is kept accurate and accessible.

Claims are another important area. After water damage, storm damage, fire system issues or other common property events, insurers often need evidence of maintenance, contractor attendance, repair history and the condition of affected assets. If that information is scattered across emails, paper files or outdated spreadsheets, claims can become slower and more difficult to manage. A centralised record does not guarantee a claim outcome, but it can reduce confusion and help committees respond quickly.

There is also a governance angle. Strata committees should be able to demonstrate how they have monitored defects, scheduled maintenance, reviewed valuations and considered whether cover remains adequate. Digital records can support those duties by giving committees a clearer view of upcoming risks and replacement cost assumptions, including when reviewing sums insured.

The lesson for lot owners is straightforward. Insurance outcomes are shaped before a renewal notice arrives or a claim is lodged. Schemes that treat records, maintenance and asset data as part of their insurance strategy may find it easier to explain their building, compare cover and respond when something goes wrong.
